Rally FAQ's
Registration may be done over the phone by calling 1-800-727-3778, ext. 1223 or 1402. We accept Visa, Mastercard, Discover and now American Express. We are required to obtain your 3-digit code off the back of your credit card. Your rally package must be paid in full before we will assign you a site. If you have a special parking request, please advise us at the time of registration. No sites will be held without full payment. If you prefer to mail in your form, you may download it and mail to: Tom Raper RVs, attn.: Rally, 2250 Williamsburg Pike, Richmond, IN 47374.
Rally PricesThe Rally Package price is $199 for two and includes your parking site with electric, six catered meals, entertainment and activities, with the exception of craft class fees. Early Bird check-in is an additional $20. Guests may be added to your package. The fee for guests under 12 is $49.50 and the fee for guests 12 and older is $99. All guests must be paid for in advance and names provided so that we have a lanyard ID badge for them at check-in.
Handicapped GuestsBecause of the limited number of sites that are convenient for our handicapped guests, we respectfully request documentation such as a photocopy of a state issued handicapped parking permit.
Handicapped guests may report to the front of the food line BEFORE food service has begun. You may bring one person with you to assist you in line, or ask any Tom Raper employee to accompany you through the line.
There will be a designated seating area near the front of the Tom Raper Center if any handicapped guests would like to be seated there during the concerts. You may also choose to sit among the crowd, but the designated area is available if you find it more convenient. Because of space limitations, please do not bring more than one person to be seated with you in this designated area.
You may check in early on Wed., 8/20 for an additional $20. You will be able to park in your assigned site and hook up to the electric. This is part of the registration process, although we will add it to your package if you decide later that you will be coming in early. You must notify us and pay for this in advance. Our parking crew will have a list of “Early Birds” and will not be taking money at the gate. You should also report to the Tom Raper Center to receive your check in packet and goody bag after parking. Last date for Early Bird Reservations: Fri., 8/15/08.
Camping GroupsWe are once again offering a discount for camping groups who reserve 10 or more sites together. A member of your group must be designated to coordinate sending all registration forms in together to ensure that we have a complete parking list. The discount is $20 off the package price. Early Bird and Extra Guest fees still apply and are not discounted. Early registration is very important to increase the odds that we have a block of sites to accommodate your group. Late registrations will not be guaranteed a site with the rest of the group.
ActivitiesWe offer a great variety of activities including craft classes, tournaments and seminars. Information will be provided to you in the packet that will arrive at your home approximately one month before the rally. An exact schedule will be included in your check-in packet upon your arrival. Craft classes require a fee paid to the instructor to cover the cost of supplies. Any fees will be disclosed in advance and are payable at the time of your class. Sign-ups for tournaments take place at the time of check-in. NOTE: Since class space and tournament brackets are dependent on you showing up, if you sign up for and can not participate after all, we respectfully request that you notify us at the information desk so that others have a chance to fill your spot.
VendorsThe Vendor Building is located east of the Tom Raper Center. Vendors are required to check in and set up their booth on Wednesday. Building Hours: 8:30 – 5:00 Thursday – Saturday and 8:00 – Noon Sunday. The vendor building is secure at night. Seminar & Demonstration ScheduleSeminars and Demos are held Thursday – Saturday. Please refer to your schedule in your check-in packet for times and locations.
FoodSix catered meals (breakfast and supper only) are included in your rally package, beginning with supper Thursday night and concluding with breakfast Sunday morning. While we do not provide lunch, there are food vendors on site across from the Vendor Building or you may ride the shuttle to the dealership and enjoy our famous free hot dogs and soft drinks.
Malone's Catering out of Indianapolis is our official Rally Caterer. All of their food is cooked on-site and is of the highest quality. Quantities are prepared based on the number in attendance.
The servings are very generous. HOWEVER, please take just one serving and keep in mind that if you were at the end of the line, you would want the same done by the folks ahead of you.
Meals are served in two groups. Your meal group will be noted on your lanyard. The meal groups have been divided as evenly as possible for seating and food preparation, so please report at your designated time. To be fair, we rotate the meal times, so please refer to the meal schedule in your handbook.
EntertainmentPlease check for entertainment updates on the website. Evening entertainment Thurs. – Sat. and afternoon entertainment Fri. & Sat. are included in your package. All concerts are held in the Tom Raper Center. The handbook in your check-in packet will give you show times. All shows are FESTIVAL SEATING, so be sure to pack a comfortable chair. Out of respect for those behind you, please do not bring a high-back chair.
NewsletterWe provide a Rally Newsletter to keep you posted on any updates. These issues can be downloaded off the website, or if you would like to have one emailed to you, please submit your request to graphicdesign@tomraper.com. We automatically include the current issue when we mail your receipt for registration.
Information PacketAn information packet containing your parking pass, maps, emergency locator card and other important information will be mailed to the address you provide us approximately 4 weeks in advance of the rally. Your parking pass must be visible in your windshield as you enter the fairgrounds. Our parking crew will assist you in locating and parking in your space. The Emergency Locator Card must be turned in at check-in time.
Will CallIf you will not be at your address to receive your packet, please advise us of this. We will hold your packet at the gate and notify the parking crew.
Check-In PacketsAfter parking your RV, please report to the Tom Raper Center to receive your check-in packet. This packet contains confirmation slips for classes, the Rally handbook, activities schedule, door prize tickets, lanyards and special discount coupons. You are required to wear your lanyard throughout the day. You may also sign up for tournaments and special events during check-in.
Goody BagsYou will receive one goody bag per RV upon check-in. The goody bags contain a wide variety of free gifts, flyers and coupons from local businesses and vendors.
First AidA First Aid Station is located just east of the Tom Raper Center. Tom Raper’s “First Responders” team will be available at all times to assist any guest in need. If it is determined that additional help is needed, we will call for an ambulance. Please be sure you have turned in your Emergency Locator Card!
Cancellation PolicyNo refunds will be issued on cancellations made 30 days or less from the first day of the Rally. After the cut-off date, payment will be applied to the cost of the next Rally. In the event of a price increase, you will be responsible to pay the difference and your reservation will not be considered final until that is done.
Golf CartsDouble golf carts are available to rent for $150. There is a down-loadable form to reserve your golf cart or you may call and take care of the registration over the phone. There will be no golf carts available to rent on-site and payment must be made in full prior to the rally. Please read the policy regarding golf cart rental as outlined on the reservation form. DisclaimerPlease note that while we do our best to accommodate you and honor special parking requests, site assignments are considered final and will only be changed upon arrival if it determined that the site you have been assigned is unusable. This decision, along with site re-assignment, will be made entirely at the discretion of our Facilities Manager, Drew Morris. Tom Raper, Inc. is not responsible for any costs you may incur as a result of adverse weather conditions, electrical issues or other events beyond our reasonable control.
Water/Dump StationsThere are multiple water and dump stations on the fairgrounds property. They will be marked with signs. Feel free to use these as you exit on Sunday. There is also a dump station located on Rich Road near the Body Shop at the dealership.
Shuttle to DealershipWe will provide shuttle service to and from the dealership Thurs.- Sat. You may catch the shuttle in the parking lot north of the Kuhlman Center. The shuttle will run continuously from 9am until 5pm. There will be a canopy for shade in the event you have to wait. There will be a van running on Wed. for Early Birds.
PetsWe welcome pets and simply ask that they be kept on a leash. Please clean up after your pet! NO pets will be permitted inside the Kuhlman Center at any time. You may bring your pet to the dealership.
Area Church DirectoryA directory of area churches will be made available at the Information Desk inside the Kuhlman Center lobby.
Information DeskThere are two locations that you may receive assistance from Tom Raper team members: the First Aid/Service Trailer east of the Tom Raper Center and at the Information Desk inside the Kuhlman Center Lobby. On Wednesday and Thursday only the Information Desk will be located inside the Tom Raper Center at the check-in station.
RV Service AppointmentsRV Service appointments may be scheduled at the First Aid/Service Trailer east of the Tom Raper Center. Limited service work may be scheduled to be done at your rally site. See a service employee for details. No service appointments may be scheduled to be done during the rally in advance of your arrival.
RV Driving CourseDue to the increased popularity of this class, we will issue numbers as you arrive on a first come, first served basis. Guests waiting for their turn to drive will be able to attend an RV Maintenance Seminar, so bring your chair and plan to have a bit of a wait. If you plan to attend this class, it is not recommended that you sign up for tournaments or classes that might overlap and affect your attendance at the other events. If you leave the driving course area, you will forfeit your turn and will be assigned a new number upon your return. Class times will be posted in the handbook and on your activities schedule.
Door PrizesEach guest will receive ONE door prize ticket in the check-in packet. Please put your ticket in your lanyard. At each meal, we will draw tickets and give away an assortment of prizes. Prizes vary in value and are donated by our Parts & Accessories Vendors, Rally Vendors and local businesses. Everyone will have an opportunity to win the Grand Prize(s). Once your ticket is drawn, it will not be returned to the drawing tub. If your number is called and you do not claim your prize, your ticket will not be returned to the drawing tub. We will tape your ticket to the prize and re-announce it at the next opportunity.
Lost and FoundPlease report a lost item or turn in found items at the Information Desk. We will attempt to make all announcements during the meal times.
